Converting a Lead into a CRM Customer

In our CRM, a Lead represents a potential sales opportunity. Once a lead shows serious interest and is ready to start a formal purchasing or registration process, they can be converted into a Customer (and an associated Account).

This article documents the steps to convert a lead and explains the important business rules governing this process.


The "Qualified Before Convert" Rule

To maintain high data quality and ensure sales resources are spent on viable opportunities, our system enforces a strict validation rule:

Lead Status Requirement A lead must be marked as Qualified before it can be converted into a Customer or registered for any sales journey.

If you attempt to convert or create a registration journey for a lead that is still in the New, Contacted, or Negotiation stage without first marking them as Qualified, the system will display a validation error: Lead must be Qualified before creating a registration journey.


How to Convert a Lead

Follow these steps to successfully qualify and convert a lead:

  1. Navigate to CRM Leads Open the CRM module and select Leads.
  2. Review Lead Details Click on the lead you wish to convert. Review their information (contact info, estimate value, and interest).
  3. Change Status to Qualified
    • Update the lead's status/stage to Qualified in the pipeline view, or edit the lead directly and set the status to Qualified.
    • Ensure all key fields (email, phone number, and company name) are filled out accurately.
  4. Convert/Create Journey
    • Once qualified, you can click on the Convert to Customer or Register Journey button on the lead's detail page.
    • The system will automatically create a corresponding Customer record and map the lead's contact details to the new customer profile.
    • Any linked interactions (chats, emails, calls) will automatically be preserved and associated with the new customer.

What Happens After Conversion?

  • Customer Record Created: A new customer entry will be added to your Contacts/Customers list.
  • Archived Lead Status: The original lead is marked as successfully converted, maintaining the historical audit trail of your sales pipeline.
  • Journey Initialization: You can now set up payment plans, assign units (e.g., plots or bookings), and issue receipts for the newly created customer.
